London-based dynamic workforce management software provider announces availability of its platform on the latest iteration of UK government framework for purchasing cloud-based solutions

g-cloud 8Continuing its commitment to the public sector and those agencies and vendors that serve it, Sirenum, the UK’s leading provider of cloud-based dynamic workforce management software, is proud to announce the availability of its platform on the latest iteration of the G-Cloud Framework, G-Cloud 10, via GOV.UK Digital Marketplace.

Six Reasons Why Temps Prefer Agencies with Great Workforce Management Software

Temp turnover can be brutal on an agency’s business–our analysis shows that roughly half the temps in a traditionally run staffing agency work fewer than 80 hours before departing. The best way to decrease turnover, and to increase those hours, is to manage temps how they want to be managed–allowing them to work when and where they want and paying them on time, for example. Temp agencies are looking to new technology for this not just to manage costs, but to grow. Rosters are a big part of the challenge, and while there are vendors out there that promise to manage your worker rosters, leading agencies know off-the-shelf or standalone tools don’t cut it for complex workforces. Let’s see some of the reasons why temps choose to work with their agencies and how workforce management software can help.

1) Knowing what they need to know about their workers

When workers join a temporary staffing agency, they are required to bring loads of documentation. Passport, Social Security or National Insurance numbers, addresses, bank accounts, certificates and permits, the list goes on. This data capture needs to be straightforward and the maintenance of the information should be seamless and transparent. The best workforce management solutions allow agencies to manage this information in a single database, with availability across multiple processes: scheduling, compliance, payroll, human resources, and more.

Agencies and their workers need to be able to rely on the accuracy and availability of this information. For example, relevant teams can get automated reminders when a permit is about to expire, simplifying things for everyone involved. This frees in-house staff to focus on higher value tasks, which allow agencies to grow, while increasing trust and transparency with temps.

Temps bring documentation at inteviews

2) Empowering their temps

Temps like to feel that they have a say in their schedule and are more than just a cog in the system. Workforce management solutions like Sirenum allow agencies to empower workers with mobile calendar management. Requesting time off–or communicating availability–can be accomplished in just a few clicks. Empowered workers are happier and more engaged.

Temps want to manage their schedule

3) Working when and where they want

Dynamic workers want to work when and where they prefer–that’s one of the advantages of working in a temporary staffing agency. Some like working at different locations and for different clients throughout the week, some don’t. Regardless, today’s dynamic worker wants their work schedule to be compatible with their life outside of work. By integrating HR records, payment terms, qualifications and event locations, schedules are fulfilled faster than even before, without even having to pick up the phone. This not only saves agency teams time trying to find the best candidates, but it also gives your workers time to plan and be prepared, increasing client and worker satisfaction.

Temps deciding when they work

4) Easily clocking in and out

Regardless of the industry or location, virtually all temp agencies are challenged with how the check in and out process is going to look like for your workers. Too many clients are still reliant (sometimes even insistent!) on paper for capturing time and attendance, with all the inconveniences that entails: lack of accuracy and more time spent on payroll processing.

Clocking in and out with a mobile app drastically increases accuracy without impacting existing workflows. Doing so also opens up the door to new capabilities, such as improved security, GPS verification, or site manager approval. This increases client and worker trust in the process and helps avoid disputes over hours worked.

Temps time and attendance

5) Getting the right amount in their account at the right time

Everybody wants to be paid on time, and getting that right is a big reason why dynamic workers choose to stay with an agency. Faster and more accurate payroll is a reality with systems that integrate scheduling and actual hours worked with payment terms. Getting paid accurately and on time, increases worker satisfaction and engagement with an agency.

Temps payslip in a mobile app

6) Feeling valued by their employers

One of the big ideas that has transformed how people work–think of Uber!–is the use of rating systems for both clients and workers. Having a preference for working somewhere is typical, and this can already be properly measured with a workforce management platform like Sirenum. Workers can rate their clients, and vice-versa. This information can enable agencies to increase satisfaction for both workers and clients.

Temps evaluate their clients

Using the right workforce management solution can transform the way an agency operates, incorporating all the relevant information needed to run the business seamlessly–HR, payment terms, contracts, scheduling, monitoring, compliance, payroll, and more–while leveraging mobile and the cloud to keep things in tip-top shape. In short, the business runs smoothly, and temps are more likely to stick with an agency running smoothly.

Sirenum Gets a Makeover

We here at Sirenum are very proud of the fact that we crank out product improvements with regularity, ensuring the latest and greatest is available for all our clients. It’s a tough job for our development team but here we are, with more than 80 releases of the product having gone live since 2015.

But one thing we had shied away from for much of that time was our user interface. As you may know, Salesforce has been heralding a new user interface called Lightning for many years, and we were waiting for it to be fully (or at least close to fully) baked. As a Salesforce ISV, we task our development and product teams with leveraging the best bits of Salesforce while building out our functionality to provide the best features and user experience for dynamic workforce management. So when Salesforce finally let the reins off Lightning, we were thrilled with the opportunity to modernise our look and feel.

Over the past few months, we’ve been working towards finalising that new look–it won’t be completely finished until Salesforce finishes some parts of the new Lightning experience–and we’re very excited to share the results of that work. You may have actually already noticed this new look by the time you read this, as we’ve updated all our screen shots. We are confident this new UI is easier to use and easier on the eyes. Below are some highlights–each image is a screen shot of a different Sirenum module and you can click the image to read more about that module:

The Four Worst WFM Mistakes to Avoid We Hear From the Industry

Virtually every employer we meet is in need of business transformation. While changing established processes in an organisation isn’t easy, adopting a modern workforce management (WFM) solution like Sirenum drives an increase in productivity and profitability after just a few months. But what’s really remarkable is how tightly these employers hold onto existing processes that frankly, make little to no sense. So we wanted to share some of the worst ideas we’ve come across. Do any of these sound familiar?

1. Whiteboards

Some of the people that we talk to are currently using whiteboards to manage their dynamic workforce. While that may make sense for teams of 20-30 people, what can we say about it when it’s for teams of 4,000+?! Sure, anyone can see what’s written on it, plus it’s easy to use and easy to understand. But let’s not forget about the major drawback: it gets erased with a simple wipe! Having your roster sorted is not just useful for day to day operations, but it’s also crucial for analysing different parameters. Which ones? The buying behaviour of each of your clients, the historical records of the hours worked by your team, the usual amount of hours spent in a specific shift, and more. This information is crucial, but don’t forget other things that will be missing from your messy whiteboard: risk management, health and safety requirements for a job, your workers’ historical preferences and requests…the list goes on and on.

2. Corkboards

corkboard

Some managers want to innovate and decide to make information clear and available to everyone in the team by printing a table and hanging it on a corkboard. Expecting your dynamic workers to be aware of this information is simply madness, since they don’t work during office hours only, and they may live far away from the offices. That’s why the solution seems clear to some managers: phone calls, all the time, all day. So many office positions in young temporary job agencies are filled with people in charge of making phone calls to communicate shifts to their workers. When oranisations leverage this “strategy,” we generally see frustrated teams, high turnover and low quality operations, resulting in client unhappiness. Leveraging modern communication tools unified with scheduling software can quickly simplify things for management, as well as improving effectiveness and profitability. Having the information available at all times in their phone also empowers and engages your workers.

3. Spreadsheets

Some small temporary recruitment agencies start their journey by using a spreadsheet to assign openings to workers. And since some spreadsheet systems nowadays allow users to work together online on the same spreadsheet in real time, some may think this is a great idea. But there are so many things that can and will go wrong. For example, when using something like Google Sheets, your information is isolated from other systems. So you still need to manually enter all the information again in other programs to perform other important tasks like payroll. Useful tools like geofencing or live time and attendance tools are detached from roster information if you’re simply using spreadsheets. Making sure your workers are compliant or have the right-to-work is also impossible to verify if you’re using this method. And don’t even get us started on what spreadsheets do for GDPR! Last but not least, a spreadsheet doesn’t allow you scale your business, since it is simply not sustainable for large workforces. Once you reach 150 or so workers, they just can’t handle the complexity. Yes, it’s true: spreadsheets are keeping your business from growing!

4. WhatsApp

WhastApp, Facebook, Instagram… you name it. Important communications for your team shouldn’t rely only on social tools that most workers use for fun, or don’t use at all! We’ve been amazed by how many businesses we meet are managing their teams with these tools.  They’re used mainly to know their team’s availability, making it really hard for managers to make sense of what’s really going on with their staff. Even for the smartest person out there, it is not possible to read a bunch of messages and then remember everyone’s availability, doctor’s appointments, holiday requests, and more. Using this uncertain or even wrong information into the roster is a headache! And of course, this leads to uncovered shifts, lower productivity, higher turnover, and less satisfied clients. But leveraging communication tools integrated within the scheduler allows you to accurately keep track of all relevant pieces of information in real time.

Sirenum is an end to end workforce management solution, able to manage all of this and much more on a single platform. If you want to learn more about how Sirenum is already helping some of the biggest employers in the world, request a demo of Sirenum today!

World's best boss

How To Grow Your Temp Staffing Business

The Challenge

When you work in the temporary staffing industry, you know how challenging it can be keeping your clients and workers engaged and satisfied. Many times a month your clients call demanding a certain amount of people for an event. And more often than not, the event starts tomorrow or even tonight! Of course, promptness is an asset you want your temp staffing business to be known for. So even though it’s a ridiculous request, you jump at the opportunity.

It can seem easy to manage 20, 30 or even 50 workers. Your managers know their teams and you think they can rely on their memory to know their availability, experience, certificates and payment terms. You ultimately rely on the candidates to have their legal documents up to date. You seem to connect with your managers and your staff. Your clients send you compliments. You seem to be ready to expand your business.

temp staffing business boss

You Start Hiring

When you want to grow your temp staffing business, you expect more opportunities to come from existing and new clients. You want to have a bigger workforce to be able to provide a larger amount of people to that client’s big gig. You want to sell and fill more hours. You want to satisfy your clients so that they will recommend you to others, and slowly but surely you want to keep bringing more and more people to your business and become an industry leader. Everything looks clear in your mind because you’ve been doing so well so far. What could go wrong?

Eve-ry-thing Goes Wrong

You’ve put a lot of effort into bringing your business to the next level. You’ve reinvested, hired more managers, you’ve interviewed more candidates and you have, perhaps, moved to bigger and fancier premises. Your good intentions are undeniable and everyone should see it. But one day, one of your clients calls complaining about the lateness of some of your workers, or tells you that they didn’t even show up! That hard knock repeats week after week and eventually some of your clients stop calling you at all. Many of your managers can’t put up with such long hours and busy work and decide to quit. Some of your candidates quit as well, as they don’t feel engaged at all. You don’t understand why is this happening. Why are the same well proven methods and processes you had as a smaller business no longer sufficient?

temp staffing business challenge

Suddenly You Understand

You do some research, receive good mentoring, you talk to people. Finally you figure out that a larger and more complex workforce require a higher amount of technology to keep track of important things. Their availability, skills, permits, legal documentation, payment terms and more, everything should be unified. You understand that your managers are just human and can only retain a certain amount of information in their memories. They can’t have everyones’ data in their minds AND keep your operations smooth. You understand that your managed teams should be interchangeable between your managers if some of them is sick or need to go on holiday. Quick, immediate, without hours of training. You acknowledge that your clients are looking for the best service. If you don’t provide it, they can go to any of your competitors, which are not just a few in such a crowded industry.

Rebounding

As you know, every cloud has a silver lining. One day you decide to not only grow, but grow stronger by leveraging technology to empower your staff. You start using a cloud-based workforce management solution that allows your managers to work from any device or location, allowing them to work from home when convenient. You keep all the important data up-to-date and available to everyone. You have staff requests at your fingertips and directly implemented into the roster. You leverage GPS technology to know when someone can’t make it in time before they even know, so you can solve the problem. Your roster software suggests the best candidates for a specific job so you don’t need to think who’s the best fit. The system knows who are the best depending on the gig.

Everyone in your company benefits from a mobile app that allows your workers to communicate with your managers to request time off. They can view their incoming shifts and payments. They even receive notificatons with enough time to leave their house for work in time, getting directions to the venue. They use the app to swap shifts with relevant team members, and their managers can approve. Workers would only need their phone to clock in and out and get the client signature–no paper required! These and many other modern functionalities engage them with your business.

Finally, That Day Comes

Cautiously, your instinct and your easily accessible reports tell you how your operations are starting to run so much more smoothly. You start to see how your managers are happier, and they actually like to work for you. They have more free time during the day, so they have started to focus on higher value tasks they were unable to tackle before. One day your temp staffing business receives a call from a big client. They want 50 extra people for tonight’s event. And after what happens next, you don’t suffer anymore: one of your managers inputs the request in the system, all the relevant candidates receive an immediate invitation via app to work tonight, and the 50 fastest fingers click and get the job. Your stare wide-eyed at how your client is still on the line when you can give confirmation. And that night you go to bed knowing that everything will be just fine.

Why Collecting Workforce Availability is Crucial–And How Best To Do It

There’s little doubt that scheduling your dynamic workers causes your teams distress. A big reason for that is getting availability from your workforce. No matter the industry or size of your business, someone needs to put together a schedule, and without accurate availability, that pain is definitely bigger.

puzzled manager

Do You Know Your Team’s Availability?

How often do you review your schedule? And how often do you get your team’s availability? I bet those two are not aligned. When they’re not aligned, you can build rosters that are completely out of whack. And that leads to uncovered shifts, lower productivity, higher turnover, and less satisfied clients.

Takeaway: Minimising availability concerns will significantly improve your bottom line.

Lumbergh TPS Report

How to Collect Workforce Availability–Hint: Not by Paper!

There are two kinds of availability businesses primarily need to be concerned about–general and ad hoc. Traditionally, general availability was collected at the interview–usually on paper–and updated at best every six months, often via phone. Obviously, both of these scenarios are suboptimal, as your data is only available to whoever wrote it down and out-of-date quite quickly as well. Plus, demanding a paper reply to something can be pretty annoying–workers don’t want to be chased by Bill Lumbergh to complete their TPS reports!

On the other hand, ad hoc availability has historically been transmitted via word-of-mouth–“I have to go to the doctor tomorrow.” The cons of such a process are readily apparent–what happens if it’s a different site manager the next day, for example?! Of course, sometimes these updates are handled by paper as well and there’s no shortage of problems with that. If nothing else, the time required to update your scheduling and HR software based on the paper input is time that could be spent on higher value activities

Takeaway: Be wary of any technology that requires you to leverage paper for either of these! No more TPS reports!

A Better Way

But in today’s world, with applicant tracking systems standard at nearly all staffing agencies and many other markets, capturing general availability is relatively easy. But leaving it in your ATS does little for your efficiency. It’s key to have an ATS that integrates with your scheduling and workforce management software.

sending availability via app

But that still leaves ad hoc availability challenges. You’re not going to open up an ATS for every doctor’s visit and basketball game! Since there are now smartphones in the hands (or pockets) of virtually every one of your new workers, why not leverage that as a tool in your arsenal against availability conflicts? Soliciting availability via mobile app–or even SMS if your workers lack smartphones–can dramatically improve your operations. Your workers will be more engaged, you’ll see much lower turnover and higher customer satisfaction.

Takeaway: Mobile. Mobile. Mobile. Meet your workers where they are.

Living Vicariously Through Our Clients…Where’s My Cape?

We’ve already written more than a couple times about some of the cool and/or mundane things our clients do. When you make workforce management software, it’s impossible not to be a part of what people are doing in their jobs. Usually, it’s pretty vanilla–though far from unimportant–stuff like the everyday workers described in my colleague Jennifer Cuetara’s great post about commuting to work, entitled The Invisible Workforce.

The Invisible Workforce

But earlier this week, just a few blocks from my flat, a security guard from our client, SQR Security Solutions, decided his regular job wasn’t enough for him and instead he would be a superhero. And he did it just metres from one of the many London-area transport stations where Sirenum-managed workers are placed by our client Pro-Active Rail. Check out The Evening Standard for coverage and even video of the heroism.

The common perception is that the only connection between software and superheroes is that most engineers are avid comic book readers–see literally any episode of The Big Bang Theory–but clearly, as our friends at SQR demonstrated, there’s more to it than just that!

Staffing Software ROI: What You Need To Know

Staffing Software ROIAnnouncing the Sirenum for Staffing ROI Calculator

I’ve worked in enterprise software for a long time (don’t ask!). And regardless of whether it’s in the cloud or on your own zSeries, one of the first questions asked about a new piece of software is what its ROI will be. Whether you’re a vendor or a buyer, it’s clear that an analysis of ROI is a crucial part of the decision-making process.

It’s with that in mind that I’m thrilled to announce that our Staffing Software ROI calculator is now available at sirenum.com/ROI. We’ve done a lot of analysis of the market, our customers, prospects, and partners to develop and refine the underpinnings of the ROI calculator.

Even if you don’t use our Staffing Software ROI calculator, it is important to analyse your own staffing business across the same vectors to identify areas for improvement. Among the components we took into account followed by some questions to ask yourself about your organization:

  • Dynamic Workforce. More than ever, the pressure is on staffing agencies to respond to clients quickly. Agencies are just the latest service that needs to be on-demand. Your clients expect you to be a utility. And you can’t afford to miss an opportunity.
    • How responsive is your agency? How many uncovered shifts do you have in a week? How many clients have you lost in the last year because you missed a shift?
  • Modern Platform. As industry giants move to 3rd generation workforce management solutions like Sirenum, you stand to miss out on a lot of new business without tools like cloud-based integrated scheduling and compliance.
    • How cloud-friendly is your infrastructure? Are you managing staff in a linear fashion? How long does it take to identify compliance concerns?
  • Self-Service. Client and staff self-service tools are the next big frontier in staffing. Clients demand them and they go a long way towards facilitating a dynamic environment.
    • How much are you empowering your clients? Your temps? Can your platform facilitate client review of schedules? Timesheets? Invoices?
  • Competitive Differentiation. Technology and process can enable you to create new products and improved service provision to your clients. Building these new products and the SLAs to support your existing ones will differentiate you from your competition.
    • Are you making promises about your service delivery? Are you able to? How well are you delivering on them?
  • Temp Satisfaction. A mobile presence for your brand on your temp workers’ phones is great for branding, engagement, and overall satisfaction. And it empowers your temps to act quickly on opportunities, with your agency before those without a mobile presence.
    • How engaged are your workers? What’s your temp turnover like?
  • Process Automation. Getting to payroll is a big drag on efficiency. So is managing compliance. Getting from A to Z with minimal human interaction is crucial to meeting your efficiency goals.
    • How much double data entry is your team doing? How clean is your data? How long does it take to process payroll?
  • Recruiter Satisfaction. SaaS and mobile-friendly access to work tools allow more flexible working conditions to your operational employees. Happy and engaged consultants have a massive impact on the satisfaction of your temps and clients. And onboarding new ones is a drain on resources and cash.
    • What’s your consultant turnover like? How much does it cost to onboard new recruitment consultants? Can your consultants work from home if needed?

As you can see, there are a number of KPIs and processes a modern agency should be tracking. Check out our Staffing Software ROI calculator today and don’t hesitate to reach out to learn more.

Five Reasons Why Using a Spreadsheet for Employee Scheduling Doesn’t Cut it Anymore

1. Your Information Isn’t Easily Accessible

When you have a staffing business you know how important it is to have up-to-date information on your workers’ skills, where they’re needed for work and when. A spreadsheet is the spreadsheets-dontworkway many companies decide to start, thinking that information will be accessible to everybody at all times. But it’s not. Even with the right setup, spreadsheets are not easily shared or viewable online. Google’s G Suite Spreadsheets have helped close the gap because of their version control and ease of access, but the information is still in isolation–it lives only within G Suite. That means you still have to manually input every piece of information about your workers, setting up their working times and of course transferring this information to payroll and invoicing. Compliance and monitoring of hours are not even possible within spreadsheets. Prior to using Sirenum, one of our clients maintained a set of seven distinct spreadsheets just to keep track of overtime and fatigue. And still was in regular violation of industry guidelines and at risk of significant fines on a monthly basis.

2. You Can’t Scale Your Business

If you manage your own business, growing it is probably the single biggest thing that keeps you up at night. As you grow, you need to hire–and manage!– workers in order to meet a growing demand. Thinking about managing even a couple hundred workers gives some agencies a terrible headache, even when it’s clearly the right thing to do for efficiency and profitability. Creating and maintaining a worker skills and permits database is of course crucial to know who is suitable for each job. But of course using this information is not easy, specially for handling dozens or even hundreds of workers. Going back and forth between databases and spreadsheets is tedious and extremely time consuming. And there’s only a certain amount of information that your managers can retain in their memory in order to set up their people’s schedules. When you’re talking about big numbers, this system just can’t work–it needs automation.

3. You Don’t Actually Know What’s Happening

Success in staffing is not easy. Servicing–and keeping!– big clients can be challenging. Being able to provide accurate information to your clients is a must if you want them to choose you over your competitors. How many hours exactly have your employees actually worked? How many arrived late? Were you able to provide a last minute replacement somebody was arriving late? These are the type of valuable reports that you can sell to your prospects when you have an automated system. Transparency is a game changer. Many of our staffing clients even include service level commitments in their RFP responses.

4. Your Employees Aren’t Engaged

What’s your employee retention like? We often see agencies that are drowning because they can’t retain staff–both temps and in-house operations. Temps often can’t even choose their availability without risking their job! Managers usually find their job really tiring as they need to work really long hours doing repetitive manual work that bores them. If this sounds like your agency, you need a better tool for communications and cooperation. Modern workforce management tools allow candidates to communicate their availability through a mobile app. Managers can learn about it straight from their scheduling view. With an automated system, many organisations have saved up to a third on routine recurring tasks, allowing managers to focus in managing, staying engaged and performing better. On the temp side, both shift coverage and health and safety improve significantly with an engaged workforce.

5. You And Your Team Are Immobile

Most software used by agencies today is still based on an old paradigm. Whether it’s Y2K-era technology built on top of an ERP or even first generation SaaS workforce management software, these tools do not properly take advantage of leveraging data in the cloud or via a mobile device. Cloud-based workforce management solutions allow you to work from when, where, and how you want to. This means that as a manager you can easily see what is going on with your people, even if you decide to work from home, or the beach. This also means that temps can see their shifts, timesheets, and even pay stubs on their mobile device, lessening the burden of communications on your operations teams while making life easier for your temps.
